Add invoice notes
Add additional information to your invoices: payment terms, bank details, legal disclaimers, or custom messages for your customers.
Where do notes appear?
Notes are displayed in the lower section of the invoice PDF, below the line items and total amount. They are visible to your customer when they download or view their invoice.
This area is ideal for communicating important information that is not part of the transaction details.
Configure default notes
Go to Settings → Billing/Invoicing. The Invoice notes field lets you enter text that will appear on all your invoices.
This default text is automatically applied to every new invoice generated. You do not need to re-enter it for each sale.
Common uses for notes
Here are the most frequent use cases:
- Payment terms: "Due upon receipt", "Net 30", etc.
- Bank details: IBAN and BIC for customers who pay by wire transfer. Especially useful if you accept external payments.
- Legal disclaimers: VAT exemption notices, tax registration numbers, or any required regulatory mentions for your jurisdiction.
- Late payment penalties: mandatory for B2B invoices in many European countries (interest rate and fixed recovery fee).
- Commercial message: thank-you note, warranty reminder, or support contact information.
Best practices
Keep your notes concise and readable. A few recommendations:
- Limit yourself to 5–6 lines maximum to avoid cluttering the invoice.
- Place mandatory legal mentions first.
- Use a clear format: one piece of information per line.
- Check the rendering by downloading a test invoice from the Orders section.
Order-specific notes
Notes configured in settings apply to all invoices. If you need to add a one-off note to a specific order, you can edit the order information from its detail page in Orders.
